Position Purpose

Under general direction, provides high level administrative support to the General Counsel. Manages complex schedules in a fast-paced environment. Efficiently performs duties with discretion and attention to detail to maximize performance and impact of the office.

Minimum Experience

Seven or more years of related administrative/ secretarial experience, preferably in a legal or academic setting

Minimum Education

Bachelor’s degree preferred or the equivalent in combined education and experience

Key Accountabilities

Key Accountabilities

• Information Management / Administrative Support
Manages a complex daily calendar for the General Counsel. Prioritizes meeting requests, and schedules appointments based on emerging issues within the college and using own judgment.
• Regularly contacts other campus offices to prepare daily briefing materials for meetings and obtain clarification on requests for assistance.
• Serves as general assistant to the General Counsel, including answering phones and e-mail, organizing meetings, coordinating travel for General Counsel and others. Anticipates all manner of administrative support as needed.
• Assists the General Counsel with management of requests for legal assistance, and other activities. Tracks action items and deadlines, and independently follows up as needed.
• Provides high-level logistical and other task support for outside professional associations and professional development activities.

Project Coordination
• Coordinates client seminars, training programs, and other special projects in the office as needed.
• Assists with the coordination of committees chaired or staffed by the Office of the General Counsel.
• Assists with institution-wide communications directed by the Office of the General Counsel, including administration of surveys and compilation of results.

Communications
Serves as first point of contact for the General Counsel and routinely interacts with high level constituents such as trustees, parents, senior administrators and outside counsel. Drafts correspondence, reports and other materials as needed to ensure high quality of communications.
• Regularly reports back to General Counsel and others on updates to calendar, meeting requests and emerging issues.
• Routinely researches OGC records of past actions in response to requests for information.
• Creates and accurately maintains electronic and hard-copy files in accordance with OGC filing system.
