Position Purpose

This temporary role provides administrative support to the Senior Vice President (SVP) who has an extensive meeting and travel schedule. This position is the first point of contact for most within the office of the SVP, and is responsible for conveying an immediate sense of Dartmouth’s professionalism and courtesy. The position serves as primary contact with many external constituents including Trustees, alumni, parents and friends through active incoming and outgoing phone and email contact. The Executive Assistant works in a fast-paced office environment, demonstrates a high degree of professionalism, and works closely and collaboratively with all members of the SVP staff while simultaneously conveying strong responsiveness across campus and to external constituencies.

  • Strong organizational skills.
  • Exceptional interpersonal skills, including the ability to communicate well and graciously with internal and external constituents.
  • Ability to set priorities and meet deadlines; able to respond to changes in priorities and multi-task accordingly.
  • Ability to initiate, plan and coordinate significant business travel.
  • Ability to anticipate, take initiative and make valuable recommendations.
  • Must exhibit good judgment, discretion and confidentiality.
  • Proofreading, editing skills and excellent attention to detail.
  • Team player and resourceful in problem solving, reliable and flexible.
  • Highly proficient with computer applications, preferably MS Office Suite (Outlook, Word, Excel and PowerPoint)

Minimum Experience
  • Five to seven years of administrative experience in an academic or corporate environment
  • Demonstrated success in working with top internal management and high-end clients or donors.
  • Higher education experience preferred
  • Demonstrated experience in handling multiple issues in a complex and dynamic work environment.
Minimum Education
  • Bachelor’s degree required or the equivalent combination of education and experience

Office Management/Administration/Communications

  • Serves as primary receptionist for the Office of the SVP; represents Dartmouth and the SVP Office in professional, welcoming and responsive manner. Determines next points of contact as appropriate.
  • Conveys time sensitive information to SVP, supervisor or other appropriate staff members for attention and action. Anticipates and recognizes scheduling/travel problems and/or issues and brings them to the attention of the Associate Director for guidance in resolving.
  • Anticipates, prioritizes and tracks SVP needs and collaborates with all members of the SVP office to ensure they are met.
  • Coordinates, prioritizes and tracks the completion of SVP correspondence and other documents on behalf of the SVP team.
  • Assists in the preparation, compiling and distribution of confidential prospect briefing materials needed by the SVP.
  • Serves as concierge to on-campus Advancement guests; assists with coordination of gifts or other welcoming gestures, including gathering, wrapping and delivery of gifts.
  • Manages a variety of centralized office management tasks such as filing, maintaining office supplies, restocking refreshments, and similar activities.

Calendar and Travel Management

  • Develops and maintains the SVP’s complex daily appointment calendar including scheduling of meetings and complicated travel while resolving any conflicts that may arise.
  • Coordinates meeting agendas and relevant materials to ensure the SVP is prepared in advance.
  • Keeps SVP and Advancement colleagues current and abreast of daily calendar, and coordinates with the SVP team to ensure SVP is prepared for travel and campus responsibilities.
  • Coordinates travel plans in accordance with SVP’s needs and preferences; prepares accurate record of trip itineraries.
