Position Purpose

To provide a variety of administrative support to supervisors and department staff to increase department/office efficiency and expedite and coordinate the work of others.

Minimum Experience
  • Two plus years of office experience.
Minimum Education
  • Associate’s Degree or the equivalent combination of education and experience preferred.

Key Accountabilities

Key Accountabilities

General Office Support

  • Serve as receptionist for the office and initial point-of-contact for inquiries.
  • Receive, sort, and deliver department and faculty mail, and forward to off-campus faculty upon request.
  • Maintain office supply inventory, order supplies through procurement website and occasional credit card (“P-card”) purchases.
  • Process student assistant timesheets.
  • Support faculty (photocopying and scanning).

Communication

  • Respond to inquiries and provide information or refer to appropriate department or contact.
  • Communicate respectfully with a diverse community.
  • Maintains cognizance of working within a diverse community and enhancing diversity and acts appropriately regarding diversity in dealing with others.
  • Coordinates department publicity including posting faculty news on social media, e.g. Facebook.

Information Management

  • Maintain directories and visiting faculty turnovers (phone ID, keys, mailboxes, etc).
  • Maintain department files and databases (e.g. department faculty recruiting information) to ensure accuracy and accessibility of information.
  • Maintains department website, updating and organizing in consultation with department members and on own initiative.

Event Coordination

  • Manage department-sponsored events, including Vaughan Recital Series, Masters classes, Tracy International Piano series, class visitors/performers, student recitals. Manages all publicity and advertising for events including the Dartmouth Events calendar, Listserv, Facebook, online local events and arts calendars, local newspapers. Coordinate concert and recital series to ensure optimal scheduling within Dartmouth calendar of events. Coordinate class visitor and performer logistics including guest itineraries, lodging, travel, and catering.
  • Process requests for various payments; collect special checks as needed from cashier’s office.
