Position Purpose

To provide welcoming and service-appropriate scheduling of outpatient appointments for busy Health Service clinics at Dick’s House, utilizing computerized appointment system and independent interpretation of policies and guidelines.

Skills & Knowledge

Competency with standard computer applications, including
e-mail.
Demonstrated proficiency managing high phone volume.
Ability to understand and observe strict confidentiality.
Strong and empathetic listening skills.
Accuracy and attention to detail.
Demonstrated team player.
Understanding of young adult developmental issues a plus.
Commitment to diversity and to serving the needs of a diverse population.

Minimum Experience

Two years in a medical office or related setting.
Prior experience with computerized appointment system preferred.

Minimum Education

Associate Degree or equivalent combination of education and experience.

Key Accountabilities

Key Accountabilities

Scheduling/Administrative

  • Welcomes inquiries, gathers patient information, schedules appointments and recommends alternate resources per department guidelines.
  • As directed by supervisor, sets up and amends electronic calendars for primary care, women’s health and specialty providers, including trainees on rotation at the Health Service.
  • Identifies, communicates and resolves calendar conflicts.
  • Collaborates with Medical Records/Reception staff to promote patient satisfaction with the access experience for a diverse patient population.
  • Monitors daily appointment/walk-in flow, communicating pro-actively with clinicians as needed.
  • Provides input for department policies and quality improvement initiatives.
  • Responsible for sending questionnaires, travel information and other visit-related documentation to patients.
