Position Purpose

To serve as the first contact with the Health Service for students, their families, college officials and members of the general public by assisting with appointments and responding to questions and inquiries on a broad range of clinical and administrative issues by telephone or in person.

Skills & Knowledge
  • Excellent verbal and written communication skills, speed, accuracy and attention to detail.
  • Ability to respond empathetically and effectively to a wide range of requests.
  • Sound judgment with respect to confidentiality and patient issues.
  • Computer literacy and ability to operate multiple systems.
  • Medical terminology a plus.
Minimum Experience
  • Two years experience in a customer service role, preferably in a health care setting.
Minimum Education
  • High school degree or the equivalent.
  • Associate’s degree preferred.

Key Accountabilities

Key Accountabilities

Communication/Liaison

  • Serves as a resource for students seeking health care or administrative/educational information from the Health Service. Resolves inquiry or refers to appropriate office.
  • Represents the Health Service positively; uses each encounter to promote a welcoming image for the Health Service.
  • Effectively communicates and personally supports the department values to foster inclusiveness and diversity.
  • Advises and obtains acknowledgements for Notice of Privacy Practices as well as other various patient consent paperwork as directed.

Clinic Appointments

  • Greets and registers patients arriving for clinic appointments and monitors waiting time and patient access into the clinic system. Receives cash and credit card payments.
  • Uses initiative and judgment to optimize the patient flow and reduce patient waiting time.
  • Obtains clinical assistance for patients needing immediate treatment.
  • Formulates and recommends procedure and policy changes for improving total customer service for patients.
  • Schedules appointments for evening clinics, assessing the urgency of the requestor’s request and responding accordingly.
  • Makes recommendations to enhance efficiency and accuracy.
  • Scans notes, tests results, and other documentation to medical charts as directed by clinical staff.
  • Assists with releases of information following confidentiality policies.

Miscellaneous

  • Participates in special projects, such as collection/processing of pre-matriculation health histories; registration at off-site vaccine clinics; participates in diversity and other training programs.
  • Routinely works evening shifts approximately eight months of the year (Fall,Winter and Spring terms).
