Position Purpose

To provide a wide variety of administrative support to the program Chair and Director to increase office efficiency that expedites and coordinates work and ensures the smooth operation of the department. This position serves as the MALS Admissions Coordinator.

Minimum Experience

• Two years of administrative assistant office experience
• Customer service or prior admissions experience preferred
• Aptitude for social media preferred
• Experience in higher education strongly preferred.

Minimum Education

• Bachelor’s degree or the equivalent in education and experience.

Key Accountabilities

Key Accountabilities

General Office Support
• Screens telephone calls, providing program information or redirecting to proper individual, keeping accurate record of message in absence of staff. Provides telephone guidance on the implementation of program policies and procedures.
• Maintains Director’s calendar.
• Collects and distributes incoming mail, to students and staff. Forwards mail to those students not enrolled in a particular term. Creates names and makes student mailbox changes for each term.
• Orders office supplies as necessary.
• Learns aspects of MALS Administrator’s position to adequately cover in his/her absence, including knowledge of scheduling of classes, student registration, grading procedure, graduation process, thesis presentations, and all other program requirement processes.

MALS Admissions
• Maintains written descriptions of program and administrative process for recruitment.
• Oversees correspondence with prospective candidates from material required through administrative decisions.
• Processes all applications to the program through our on-line application, Apply Yourself; notifies applicants of missing materials and follows up to ensure receipt of all required materials; assembles and copies application files for committee review; ensures financial aid materials are in order by deadlines.
• Creates and maintains Excel chart for tracking of applicants through committee’s decision, applicants’ responses and new student orientation/matriculation.
• Generates statistical reports on admissions pool and yield as well as overall student demographics .
• Drafts committee decision letters and acceptance packets as applicable.

Program Communications
• Yearly, updates and edits MALS Handbook for printing and new student distribution.
• Uploads MALS journal, course descriptions and updates to departmental forms to the site. Writes articles on program news and events to be posted to website homepage.
• Maintains a program presence on social media (Facebook, Twitter, etc.).
• Drafts correspondence, for Chair’s/Director’s signature, to students, professors, etc.
• Proofreads program bulletins, newsletters, brochures, etc., ensuring proper format, grammar and spelling accuracy.
• Assumes responsibility of mailings, e-mail address lists and master file folders for all incoming students.
• Inputs visa information with OVIS Office for international students.
• Coordinates new student orientation; organizes library orientation, and other workshops.
