Position Purpose

Under close supervision of the Payroll Manager, the Payroll Practitioner performs a wide variety of record keeping and payroll processing activities including but not limited to: answering phones; assisting walk-in customers; managing the main e-mail account; maintaining employee/payroll records; and preparing and processing the student and/or biweekly payrolls.

Minimum Experience
  • Three years of relevant payroll experience.
  • Computerized Payroll Systems experience.
Minimum Education
  • Associates degree or the equivalent.

Key Accountabilities

Key Accountabilities

Customer Service

  • Assist customers with pay-related questions received by phone, in-person or through e-mail in a professional way ensuring accurate and timely responses.
  • Assist customers in completing the I9 form appropriately and processing in E-Verify accurately.
  • Provides payroll information to employees for purposes such as tax reporting.
  • Answers and responds to employee questions and inquiries about tax and financial issues such as benefit deductions and direct deposit to ensure employee understanding of and compliance with College policies and practices.
  • Cross trains with other team members to assure adequate coverage, accurate and consistent information and timeliness.
  • Communicates respectfully with a diverse community.

Data and Files Management

  • Enters and updates employee payroll information such as tax exemptions and direct deposit information.
  • Duties will include checking and auditing timekeeping records entered by the Finance Centers for compliance with established standards, maintaining time and attendance records, posting changes in pay and tax status, and general maintenance changes.
  • Identifies, troubleshoots and reports problems in transactional processing to the Payroll Manager.
  • Maintains employee I9 files ensuring that I9’s are maintained according to federal regulations.
  • Maintains employee paper and electronic files in accordance with state and federal regulations and College policy.

Payroll Processing

  • Prepares pre-payroll, payroll, and post-payroll process and validation reports.
  • Performs all processes to complete the biweekly staff and student payrolls.

Systems

  • Works closely with other payroll staff in identifying need for system revisions, formulating system requests and recommendations, and analyzing post-implementation results of system changes.
  • Performs testing of system functionality for patches and upgrades thoroughly and timely.

Communications

  • Coordinates changes and implements changes to the Payroll website as directed by the Payroll Manager.
