Position Purpose

To assist in the management and implementation of a comprehensive, high-volume recruiting program which includes resume drops, career fairs, and on-campus interviewing for both internships and entry-level positions. To create marketing materials for the department and to provide administrative support to supervisory staff/department and represent Office to internal and external constituencies, including employer representatives.

Key Accountabilities

Key Accountabilities

General Office Coordination

  • Administers logistics for on-campus interviews and resume drops; monitors student sign-ups and filling of vacant interview slots.
  • Prepares interview facility daily for on-campus interviews, including preparation of interview schedules/rooms.
  • Checks in students for on-campus interviews.
  • Prepares promotional summary documents for major recruiting deadlines.
  • Handles employer requests for marketing and outreach.
  • Other duties as assigned.

Event Scheduling

  • Promotes events and deadlines on social media.
  • Designs marketing material for events, resources, and new initiatives.
  • Assists in coordination of employer career fairs.
  • Reserves classrooms, tabling and audiovisual equipment for employer visits and sends detailed confirmations.

Information/Records Management

  • Maintains detailed and accurate records in multiple databases, updating as needed and following up on missing information.
  • Creates invoices and sends them to employers for recruiting-related expenses, handling collections as required each term.
  • Creates quarterly invoice spreadsheets to reflect billing and payments for individual employers and summarize revenue generated.
  • Tracks signed policy forms from recruiting employers and students.
  • Ensures all interview decisions are submitted on time.
  • Produces and shares quarterly recruiting reports to document employer feedback on interviews.
  • Provides back up for job and internship posting data entry.
  • Provides back up for approving student and alum account registrations.

Communication/Representation

  • Communicates with students and employers regularly regarding all employer-related activity. Explains and enforces policies.
  • Participates in recruiting workshop presentations.
  • Maintains cognizance of working within a diverse community and enhancing diversity and acts appropriately regarding diversity in dealing with others.

Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.
