Position Purpose

To provide grant management support to investigators in the development, submission and management of proposals that further the research and education mission of The Dartmouth Institute for Health Policy and Clinical Practice (TDI). To ensure compliance with Federal and non-Federal regulations, sponsor requirements and Dartmouth/Office of Sponsored Projects (OSP) policies.

Skills & Knowledge
  • Excellent organization, communication, interpersonal, financial management, proofreading and editing skills.
  • Ability to interpret and apply research administration and accounting policies and procedures.
  • Project management experience with proficiency with Microsoft Word and Excel.
  • Accuracy and attention to detail is essential.

Minimum Experience
  • Four years of experience in sponsored projects administration in an academic medical center, scientific research environment or the equivalent.
  • Demonstrated excellent writing and communications experience.
Minimum Education
  • Bachelor’s degree in business administration, science or the equivalent combination of education and experience.

Proposal Submissions, Pre-award Coordination and Award Acceptance

  • Assists and advises investigators in the development of grant and contract proposals for submission to federal, foundation, state and corporate sponsors. Reviews funding announcement, prepares deadline schedule and meets with investigators to review the various proposal components, assign responsibilities and set a timeline for submission; follows-up throughout the process to ensure timely receipt of final documents. Works closely with investigator on final editing of narrative sections, including the research plan.
  • In collaboration with the principal investigator and the Assistant Director of Research Administration, prepares proposal budgets ensuring adherence with sponsor, Office of Sponsored Projects (OSP) and The Geisel School guidelines. Applies independent judgment in interpreting funding agency terms and conditions and institutional policies.
  • Manages all administrative components, preparation of budget and related documents, coordination with subrecipient organizations, internal approvals and submission to OSP, and final submission to sponsor. Reviews final proposal for accuracy, completeness, consistency of content and presentation, and ensures presence of required information and certifications, use of appropriate documentation, templates and forms, etc.
  • Ensures that all key personnel have completed online conflict of interest disclosures, and works with Geisel and College research administration peers throughout the proposal and award process to obtain appropriate departmental and institutional approvals.
  • Works in close collaboration with the Office of Sponsored Projects, with regard to proposal submissions and award acceptance, to determine nature of action(s) required and timely completion.
    Assists in resolving issues that occur during the course of the College approval and agency receipt and validation processes.
  • Assists TDI Assistant Director of Research Administration and Office of Sponsored Projects in ensuring adherence to grant acceptance policies and procedures.
  • Coordinates with investigator and OSP to respond to any questions or requests from sponsors prior to the issuance of awards, including “Just-in-Time” requests for IRB approval, human subjects training certificates, other support information, budget revisions, etc.
  • Provides description of new sponsored projects to TDI communications office for inclusion in TDI newsletter.

Program Management

  • Works with investigators throughout the project period to ensure adherence to sponsor requirements and timely submission of non-competing renewal applications, progress reports, project deliverables and final technical reports.
  • Collaborates with TDI financial administration team and project teams to support the financial management and operations of projects.
  • Functions as a resource for investigators regarding grant and award policy. Maintains understanding of multiple sponsor and agency requirements.
  • Assists the Assistant Director of Research Administration with the management of the sponsored projects database for TDI; and in collaboration with the Assistant Director of Research Administration, creates and provides reports to TDI Director, associate director and center directors as requested.
  • In coordination with the Assistant Director, Research Administration, manages aspects of the research management tracking and systems for TDI, including tickler system to notify investigators of upcoming IRB renewals, annual progress reports, etc.
  • Supports the development, revision and improvement of TDI research administration and compliance policies and procedures; keeps faculty and staff informed of relevant new policies and procedures.
  • Researches and monitors various databases to identify potential new funding opportunities in alignment with TDI strategic priorities. Notifies investigators of opportunities for funding and/or training.
  • Maintains/updates agency-specific information, including biographical sketches and key personnel information; and provides this information to investigators and their collaborators as needed.
  • Creates and maintains paper and electronic grant files, ensuring that files are kept current with regard to status, e.g., pending, active, and closed.
