Position Purpose

The Formula Hybrid competition, an event founded by Thayer School of Engineering at Dartmouth in 2006, provides an educational experience for engineering students by challenging them to design and construct a hybrid drivetrain that focuses on fuel efficiency in a high-performance application. Dartmouth hosts an annual competition comprising teams from all over the country.
FIRST Lego League Teams, guided by adult Coaches, research a real-world problem such as food safety, recycling, energy, etc., and are challenged to develop a solution. They also must design, build, program a robot using LEGO MINDSTORMS® technology, then compete on a table-top playing field.

Under the direction of the leaders of these two programs, this individual provides all levels of administrative support for both the Formula Hybrid and the FIRST Lego League competition. They will plan and manage the events, maintain and build sponsor relationships, solicit and manage volunteers to help at the events, handle promotional activities, and manage all aspects of event planning and administration.

Minimum Experience

• Three to five years’ experience working within a specialized program environment.
• Demonstrated experience working with senior administrators, sponsors, and top volunteers preferred.

Minimum Education

• Bachelor’s Degree in marketing, communications, or a related field.
• Or an equivalent combination of education and experience.

Program and Planning Management
• Coordinates and facilitates the annual Formula Hybrid competition.
• Coordinates and facilitates the FIRST Lego League event.
• Works in conjunction with the program leaders and others to establish performance goals in assigned development areas; monitors progress against goals and devises strategies to ensure success in meeting goals.
• Works in collaboration with Thayer’s Communications Office to oversee, create, and implement any associated website or related materials for the programs.
• Leads and coordinates the volunteer effort critical to successful events, maximizing contribution and participation of volunteers both prior to and during the event
Sponsor Management
• Manages and maintains funding through communication with existing sponsors and solicitation of new sponsors, building and maintaining excellent relationships with both.
• Manages tasks related to sponsors, including maintaining sponsor data base, processing sponsor applications.

Communication and Collaboration
• Develops networks with College colleagues to keep current on best practices and emerging trends in engineering higher education.
• Develops collegial and productive relationships with colleagues in other College engineering programs.
• Develops strong and effective relationships with colleagues across the institution.
• Supports the core values of the programs.
Student Support
• Track student document submissions and their subsequent reviews.
• Coordinate student team registration, assisting teams as needed with the process.
• Work with students to answer questions and provide guidance.

General Office Support
• Maintains budget, office, supplies and purchasing procedures.
• Prepares correspondence and printed material on behalf of the program.
• Updates schedules and calendars in response to meeting and event changes.
