Position Purpose

Under general supervision, provides administrative and staff support to the Outreach Manager. Manages the day-to-day operations of the O&AE office and arranges logistics for O&AE events. Oversees the implementation of performance-related educational activities.

Skills & Knowledge
  • Excellent organizational, interpersonal, and communication skills, including public speaking.
  • Understanding of the arts and diverse cultures.
  • Skill in writing and proofreading; computer literacy and working knowledge of graphic design programs.
  • Willingness to do some evening and weekend work.
  • Ability to work independently, anticipate needs and set priorities.
  • Energetic; able to work with multiple programs, events and projects under deadline pressure; and maintain attention to detail.
  • Demonstrated ability in creative problem solving.

Minimum Experience
  • Two years of relevant administrative and/or arts management and/or arts education experience.
Minimum Education
  • Bachelor’s degree or the equivalent in education and experience.

Key Accountabilities

Key Accountabilities

Program Development/Management

  • In conjunction with Outreach Manager, plans, executes, or delegates to temporary or student staff the accomplishment of activities related to Hopkins Center Visiting Artist Residency Program.
  • Develops and conducts ongoing evaluations of outreach programs and services in relation to the Hopkins Center mission and needs of various Hopkins Center constituencies; recommends programmatic/policy changes to Outreach Manager.
  • Works with directors and staff of other departments, artists and managers to develop programs for campus and community audiences; serves as representative to faculty, students, and campus staff for matters pertaining to Hop educational programs. Works with representatives of community organizations, institutions, and service providers to develop community partnerships.
  • Promotes understanding of similarities and differences in diverse cultures through programs; incorporates the needs of diverse populations in program planning.
  • Identifies opportunities for activities and presentations at locations on campus and locally. Initiates contact and responds to groups having potential interest in the programs. Independently develops and leads periodic educational programs (i.e. Job Shadow Day). Conducts presentations to promote interest, attendance and participation in Outreach Programs. Coordinates with staff in hosting, and responding to the needs and concerns of artists.

Logistical Support

  • Oversees the accomplishment of program logistics at presentation sites, on-campus and off; insures needs in such areas as performance space, lighting, sound, seating, transportation, site preparation and clean-up, etc. are identified and properly addressed. Researches and arranges for rehearsal and residency spaces and set up needs.
  • Assists the Outreach and Programming staff with additional programs as needed (i.e. School Performance Series, season preview, etc.).

Staff Management

  • Supervises students, temporary staff, and volunteers to accomplish outreach programs activities, planning and scheduling of work, assignment of work to student interns, and providing on-the-job training. Interviews, hires, evaluates performance.

Communication

  • Develops and produces educational publications via desktop publishing: curricular Study Guides for students K-12, marketing fliers for educational events, coordinating mailings, targeted e-mail/“snail mail” campaigns, and on-line photo gallery updates. Oversees distribution of program support materials.
  • Oversees research, production and distribution of Curricular Connections Guide for faculty and staff. Designs guide and serves as point of contact for professors and staff requesting tickets and residency programs through the program.
  • Proposes and manages updates to Outreach website; coordinates changes with Audience Engagement and other staff.
  • Attends community and campus outreach functions; implements, oversees, and provides support to programmed activities; serves as event host and program moderator, introduces artists, etc.
  • Manages Hop Outreach email account, answers the telephone and greets visitors. Applies a thorough understanding of the office/program mission to respond to often substantive inquiries from the community at large, students, performer agents, educators and schools administrators, etc. regarding program offerings, coordination of planned/scheduled activities, and scheduled event.

Database Administration

  • Updates, maintains and creates reports from informational database of educational activities; liaises with multiple departments on database issues.

General Administration

  • Provides general administrative support including file and photo archiving, office supply ordering, calendar management, etc. Represents the office at meetings as directed.
  • Assembles materials associated with the preparation/submission of grant applications, grant evaluations and statistical reports. Researches and provides current financial, demographic and statistical information as requested by grant originators and/or College administrators.
  • Collects and maintains receipts; verifies accuracy of all billings; ensures charges are supported by appropriate documentation. Reconciles computerized transaction reports against source documents.
  • Collaborates with the Manager to plan and schedule the work to be accomplished and assign work to student interns.

Other
