Position Purpose

To provide operational management in the Arthur L. Irving Institute for Energy and Society (IIES) Office and direct administrative support to the Director.

  • Proven advanced knowledge of Microsoft Suite (Word, Powerpoint, Excel) and Adobe Acrobat, including preparation of presentations.
  • Demonstrated skill managing complex calendaring with Outlook Calendar, with skill and finesse keeping colleagues updated and well informed.
  • Ability to develop and manage web content, and update web pages. Requires knowledge of Omni Update and Drupal.
  • Commitment to diversity and to serving the needs of a diverse community.
Minimum Experience
  • Five years of office management or program management experience.
  • Experience navigating university bureaucracies and working with faculty a huge plus.
  • Supervisory skills highly desired.
Minimum Education
  • Bachelor’s degree or the equivalent in education and experience.

Key Accountabilities

Key Accountabilities

IIES Office Management

  • Manages all aspects of office and administrative operations. Develops and implements office procedures and systems that improve the efficiency of the office operations.
  • Provides the day-to-day office management of the IIES office with a high level of professionalism and responsiveness to all constituencies and fostering inclusion within a diverse community.
  • Maintains and manages the Director’s calendar working closely and effectively to keep the Director well-informed of and prepared for upcoming commitments and responsibilities, changes in schedules or priorities, and following up appropriately.
  • Makes travel arrangements and documents and settles corporate card charges or reimbursements as needed.
  • Coordinates and maintains departmental filing systems, including electronic formats and databases to ensure accuracy and accessibility of information.
  • Works with the finance center and Provost’s Fiscal Office to ensure that the business of the IIES Office is done efficiently and that financial transactions are fully documented. Is responsible for purchasing, invoice processing, reimbursements, and transaction review.
  • Manages special projects and activities as needed or assigned.

Program Coordination and Communication

  • Coordinates programming and other events, including catering, attendee response management, logistics coordination, and other needs for events. Researches possible speakers
  • In coordination with the director, may work with alumni and others to create opportunities for student engagement including internships.
  • Documents all agreements with incoming speakers, advises the Director throughout negotiations while maintaining strict adherence to Dartmouth policies.
  • Arranges all aspects of speaker engagement including but not limited to travel, accommodation and payment. Schedules seminars and all meetings with students and faculty.
  • Compiles information for meetings, coordinates items for the agenda, and distributes material to participants prior to the meeting. Provides post-meeting follow-up to ensure timely and accurate dissemination of information, including distribution of finalized meeting minutes, reports, and other relevant materials.
  • Coordinates with other administrative offices and campus constituencies to assist with program planning, development, implementation and assessment. Coordinates, attends, participates in, and takes minutes at meetings as may be requested by the Director.
  • Develops content, updates, and maintains the website for the IIES.
