Position Purpose

Primary responsibility is to oversee front desk operations. To coordinate and perform a wide variety of office activities that will increase office efficiency, expedite and support the work of others, and ensure the smooth operation of the office. Provides primary administrative support for the Undergraduate Deans Office. Works as an integral member of the staff in the accomplishment of the office workload.

Minimum Experience

Three years of office administration experience, with some autonomy.

Minimum Education

Associate’s degree or the equivalent combination of education and experience.
Bachelor’s degree preferred.

Key Accountabilities

Key Accountabilities

General Office Support

• Provides front desk coverage and oversees front desk operations on a day to day basis. This includes serving as the initial contact to and liaison with all visitors to the Student Academic Support Services Suite, via in-person, phone, and email interaction, assessing the urgency of student requests and taking appropriate action.
• Administers and supports projects and programs for the Undergraduate Deans Office including: Deans Office Student Consultants (DOSCs), Orientation, Commencement, etc.
• Prepares, supports and coordinates routine and regular “bulk” correspondence to students, parents, and faculty.
• Researches and prepares, with minimal supervision and a high degree of diligence, documents and correspondence on behalf of undergraduate deans.
• Prepares and coordinates information and meeting materials for undergraduate deans, including student files when needed.
• Responsible for training temporary front desk reception staff.

Communication

• Serves as primary point of contact representing the office to the institution and external constituencies.
• Serves as a source of information on department policies and procedures. Remains comprehensively informed regarding rules, regulations and campus issues, disseminating appropriate information as necessary.
• Convenes and serves as agenda officer for weekly staff meetings; records minutes and distributes.
• Maintains cognizance of working within a diverse community and enhancing diversity and acts appropriately regarding diversity in dealing with others.
• Maintains a high degree of sensitivity and confidentiality at all times.
• Shares information and knowledge of procedures with other members of the team so that all can perform similar tasks successfully.

Information Management

• Establishes and maintains department files and databases to ensure accuracy and accessibility of information for several student academic support processes: with minimal supervision and a high degree of diligence, organizes, tracks and provides information to deans.

Schedule Coordination

• Schedules appointments and meetings for all undergraduate deans and other Student Academic Support Services staff, managing multiple calendars.
• May be asked to coordinate major recurring office activities including those with related departments, external participants, etc.
• Makes travel arrangements for undergraduate deans when necessary.
