Position Purpose

Provides administrative support to the Senior Associate Dean of Student Affairs in a wide-variety of ways, including managing selected critical office functions and day-to-day operations through an in-depth knowledge of programs and priorities. As needed, this position will provide administrative support for the Dean of the College.

This position must exercise considerable discretion and judgment in coordinating and responding to communications on behalf of the Division of Student Affairs, be able to adapt to a fast-paced office environment, and demonstrate a high degree of professionalism.

Minimum Experience

• Three years of administrative experience.

• Demonstrated experience in handling multiple issues in a complex and dynamic work environment.

Minimum Education

• Associates degree required or the equivalent combination of education and experience.
• Bachelor’s degree preferred.

Key Accountabilities

Key Accountabilities

Administrative Coordination
• Manages day-to-day office operations.
• Represents Student Affairs to internal and external constituents in a professional manner and serves as the primary office contact for individuals seeking to speak directly with the Senior Associate Dean.
• Collaborates and Coordinates with the President’s Office, the Provost Office, and other senior staff on matters that require Student Affairs involvement.
• Maintains high level of collaboration and communication with department members and other offices.
• Regularly handles confidential or sensitive information, exercising discretion concerning its handling and disposition.
• Liaise with the Finance Center and departmental account specialists to best steward and account for financial resources.
• Manages the Senior Associate Dean’s calendar and creates work flow systems that advances priorities and projects.
• Coordinates travel in accordance with the needs and preferences of the Senior Associate Dean and others, as needed.
• Provides back-up administrative support to Dean of the College, as needed.
• Fosters an inclusive, positive office environment that welcomes staff and students.
Communication
• Serves as primary point of contact for the office. Serves as source of information on department policies and represents the department to the community and beyond.
• Organizes, tracks, and assures successful follow up on issues and projects.
• Uses considerable independent judgment and professionalism in responding to requests for information by email or phone.
• Helps students conduct any Student Affairs business, as needed.
• Manages division-wide communications, including weekly newsletter, social media and website.
• Serves on campus committees as assigned or requested.
• Drafts, proofreads, and edits memos and other documents.

Event and Project Coordination

• Independently manages short-term projects on behalf of the Senior Associate Dean and in support of the Division of Student Affairs, exercising judgement and critical thinking.
• Coordinates and arranges all logistics for meetings and special events (conferences, dinners, luncheons, retreats, etc).
• Ability to build and maintain strong relationships with students and student organizations to assist with communication, event planning, and meeting scheduling.
• Coordinates and staffs committees and working groups chaired by senior associate dean.
• As requested, researches subjects of interest and develops reports summarizing and organizing information.
• Manages and coordinates professional development events and activities for the Division of Student Affairs.
• Supports undergraduate prize selection committees and coordinates award receptions.
