Position Purpose

To coordinate activities that will increase efficiency, expedite and coordinate the work of others, and ensure the smooth operation of the DEN Innovation Center.

Skills & Knowledge
  • Attention to detail and accuracy.
  • Strong organizational skills and ability to respond appropriately to pressures and deadlines.
  • Advanced knowledge of Microsoft Office products and experience with or the ability to learn database and electronic records management systems.

Minimum Experience
  • Five years of administrative support experience, preferably in an academic setting, or the equivalent.
Minimum Education
  • Associates Degree or the equivalent in education and experience.

Key Accountabilities

Key Accountabilities

Office Administrative Support

  • Serves as an initial point-of-contact for callers and visitors to the DEN Innovation Center.
  • Coordinates DEN Innovation Center programmatic and meeting space calendars.
  • Serves as a liaison for smooth communication between Director, Program Managers, and other constituencies.
  • Coordinates and maintains departmental electronic filing system and conforms to Dartmouth Records Management and Finance Center policies, processes, and protocols.
  • Prepares a wide variety of materials such as correspondence, meetings minutes, reports, handouts, etc. Proofreads documents to ensure accuracy. Designs and adapts forms and form letters as needed.
  • Works with the finance center to ensure that the business of the OETT is done efficiently and that financial transactions are fully documented. These include purchase requisitions, invoice processing, credit card receipt processing, and reimbursements.
  • Supports the overall office goal of maintaining a high level of professionalism and responsiveness to all constituencies.
  • Ensures that the DEN Innovation space is in optimum condition to support programming needs. This includes ordering and stocking of office supplies, program supplies (including food and beverages), general tidying up, and troubleshooting office equipment issues if needed.

Communication and Coordination

  • Interacts regularly with a wide range of internal and external constituents and staff members, and convey information relating to the DEN Innovation Center.
  • Communicates and orients new users to the DEN Innovation space with policies. Supports orientation and logistics for outside visitors to the DEN.
  • Supports special events, seminars, workshops, guest lecturers and student-engagement events in coordination with the DEN team. This may include registration, logistics coordination, and other needs for DEN functions.
  • Supports the OETT’s objectives to foster inclusiveness and diversity by demonstrating a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.
