Over 30 years ago, Dartmouth established a travel program designed to draw alumni, family and friends into a closer relationship with the College and the professional schools. As Dartmouth approaches its 250th anniversary celebration, it is an exciting time to join the Lifelong Learning team. We are seeking an adventurous person to create innovative and engaging travel concepts for a new generation of Dartmouth travelers.

In support of Dartmouth College’s Alumni Relations mission, the Assistant Director supports the goals of Alumni Lifelong Learning in its effort to enhance individual relationships with a diverse alumni population. In collaboration with the Director of Lifelong Learning (LL), the Assistant Director provides program leadership for the conception, development, and implementation of quality educational events and travel programs designed to engage and cultivate alumni involvement and participation.

Position Purpose

In support of Dartmouth College’s Alumni Relations mission, supports the goals of Alumni Lifelong Learning in its effort to enhance individual relationships with a diverse alumni population. In collaboration with the Director of Lifelong Learning (LL) provides program leadership for the conception, development, and implementation of quality educational events and travel programs designed to engage and cultivate alumni involvement and participation.

  • Facility with computers, including word processing and database management.

Minimum Experience
  • Four years of relevant experience in event or program management or the equivalent.
  • Experience with pricing, marketing, budgeting and financial management.
Minimum Education
  • Bachelor’s degree or the equivalent.

PROGRAM PLANNING AND MANAGEMENT

  • Participates in the development and execution of a department operating plan.
  • Initiates and maintains collaborative relationships with faculty from all areas to promote the College and enhance programming goals.
  • Collaborates with colleagues across campus to explore and develop program enhancements designed to strengthen the sense of connection to the College among Dartmouth alumni and family.
  • Conducts research to assess best practices of peer institutions and other non-profits in order to enhance the opportunities for alumni engagement at Dartmouth College

EVENT PLANNING AND MANAGEMENT

  • Manages events and travel programs that are designed to engage and cultivate alumni in the life of the College and with each other, while maintaining high levels of attention to detail, accuracy, sensitivity and a continuous focus on the purpose of those activities.
  • Collaborates with Associate Director of Lifelong Learning on coordinated programs.
  • Participates in daily event and travel operations while working autonomously and as part of multiple teams.
  • Supports and participates in the development of effective working relationships, systems and processes in support of the department and individual activities and responsibilities.
  • Maintains responsibility for the execution of specific alumni events and travel programs.
  • Plans, budgets, implements, and markets new and existing programs and services designed to meet the needs and interests of alumni.
  • Writes, edits, and contributes in design discussions with the goal of effective and attractive marketing initiatives that fit with Alumni Relations branding.
  • In conjunction with the Director of Lifelong Learning and the Advancement Communications team, oversees and manages a comprehensive marketing plan with on- and off-campus marketing professionals to effectively promote the LL travel programs. Collaborates with various units on campus to accomplish marketing and delivery goals.
  • Interacts with faculty to effectively prepare, advise, and debrief travel experiences. Prepares and shares passenger reports with Advancement colleagues. Interfaces with tour operators to share passenger needs and feedback and makes business relationship recommendations as needed.

OPERATIONS

  • Travels to perform site visits, to meet with vendors and travelers, to staff and to execute Alumni Relations events and activities.
  • Manages program chart strings to accomplish overarching financial revenue objectives; ensures that expenses are properly estimated and tracked; identifies potential variances as they arise and recommends adjustments to programming accordingly.
  • Works closely with the Director in providing management support of the office and applying customer relationship management (CRM) techniques to serve and maintain customers.
  • Tracks and assesses work and streamlines operations by effectively utilizing the Advance Database, iModules, Qualtrics, Advizor and other College electronic systems whenever possible.
  • Evaluates alumni participation and demographic information to generate reports that will contain metrics to be used in analyzing the success and effectiveness of overall program.
  • Participates in and looks for way to improve established best practices for event planning and execution.
