Special Instructions: This is a temporary position, continuing until the project is completed. May be 3-6 months. 40 hrs / week Mon-Friday 8:00 - 5:00 pm. Position Purpose

Under general supervision of the Patent and Database Manager, the Data Entry Assistant is responsible for ensuring data accuracy and completeness following a migration to a new knowledge-based system (Wellspring) for invention, intellectual property and agreements in the Technology Transfer Office.

Skills & Knowledge
  • Basic understanding of databases and web application databases
  • High degree of accuracy and great attention to detail
  • Ability to work independently, set short-term priorities and make good decisions
  • Good verbal communication skills and the ability to work as a cooperative team member
  • Ability to demonstrate and maintain a high level of confidentiality
  • Ability to follow procedures and policies
  • Ability to perform repetitive duties with a high degree of accuracy
  • Knowledge of Wellspring Sophia helpful
  • Knowledge of legal terms, contracts or patents helpful
  • Commitment to diversity and to serving the needs of a diverse community
Minimum Experience
  • Two years of data entry and/or general office experience or equivalent
  • Database remediation experience desirable
Minimum Education
  • High-school Diploma.
  • Associates Degree or higher preferred.

Data Entry and Quality Control

  • Reviews records for accuracy, updating fields per the revised process specific to the type of record.
  • Reviews records for deficiencies and errors, retrieves data from electronic files as needed.
  • Verifies data by comparing to source documents as needed.
  • Performs research to complete records as directed.
  • Generates and reviews reports to ensure old data fields have been updated per policy.
  • Brings deficiencies and concerns to attention of Patent and Data Manager for resolution.
  • Assists in other associated data processing duties as assigned

General

  • Works in cooperation with other administrative support staff.
  • Effectively communicates opportunities for improvement in the record tracking process.
  • Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.
