Position Purpose

To contribute to the work of the Admissions and Financial Aid Offices 1) acting as the “face of the College” by participating in public activities and responding to inquiries; 2) processing recruitment, selection and financial aid materials; and 3) engaging in general administrative tasks to support ongoing operations. As Dartmouth continues to diversify its community, this position is a critical point of contact for prospective and current students and their families.

Minimum Experience
  • Two years of relevant experience in customer service, information processing/data entry and/or administrative support.

Key Accountabilities

Customer Service

  • Assists in managing the reception area during peak or understaffed times and works closely with the CVC and the student workers who act as receptionists and greeters during any given term. During select Saturdays (July- mid-November and mid- February- April), the position opens and closes the Admissions & Financial Aid Office and manages all student workers in the space.
  • Screens incoming telephone and email inquiries; acts as first line responder, triages and refers inquiries as appropriate. Strong writing ability to compose comprehensive emails.
  • Reviews and researches admissions and financial aid applications to determine outstanding requirements using a variety of computer applications.
  • Greets visitors and serves as first-line responder to visitor inquiries at campus-based public programming activities and in the reception area as necessary.
  • Assembles packets of materials and mails announcements and materials to support admissions recruitment activities.
  • Communicates professionally and respectfully with a diverse population of prospective and current students, their parents, and their advocates.
  • Web proficiency to research the admissions, financial aid and various campus websites to assist and direct callers quickly.
  • Assist prospective students with travel arrangements for special prospective student events.

Data Processing

  • Admissions recruitment and Admissions/Financial Aid application processing.
  • Loads, reviews, and consolidates new recruitment, applicant, and financial aid records to ensure accuracy.
  • Participates in the conversion of paper application material into electronic records and documents.
  • Reviews and verifies the completeness and accuracy of various application forms and financial aid paperwork completed by applicants, students, and others.
  • Reviews and verifies financial aid awards to ensure accuracy.
  • Interprets admissions transcripts and computes grade point average and/or converted grade score as necessary; appropriately routes candidacies that require special attention.
  • Identifies and distinguishes between a wide variety of financial aid forms and documents.
  • Appropriately maintains and disposes of paper and other physical application related materials.
  • Generates and distributes standard reports on a scheduled basis.
  • Engages in the ongoing review, maintenance, and updating of the processing procedures manuals.
  • Makes recommendations for improvements and enhancements.
  • The position works closely with the CVC in managing the payroll process for up to 80 student employees.

General Administrative Support

  • Collects and distributes daily mail and newspaper.
  • Maintains adequate inventory of office supplies.
  • Serves as liaison to Facilities Management staff on building related matters.
  • Maintains office calendars; sends daily in/out/officer status email to staff.
  • Supports staff travel as necessary, including shipping and tracking of recruiting material to travel destination.
  • Serves as member of proofreading team for office publications.
