Position Purpose

The Finance Manager (FM) is the principal manager of Technology Transfer financial data operations. The FM organizes business services and processes to ensure the flow of high quality management information and the smooth execution of work flow, while fostering strong relationships with a large and diverse group of inventors, companies, universities, Dartmouth start-up companies, and financial and legal colleagues across the institution.

• Ability to understand and to clearly communicate legal requirements of federal regulations to researchers and other constituencies.
• Able to manage complex and demanding relationships with tact and discretion.
• Knowledge of the Patent Law and Federal Regulations pertaining to intellectual property and academic technology transfer.
• Commitment to diversity and to serving the needs of a wide range of diverse constituents.

Minimum Experience

• Five years of relevant experience in an academic technology transfer office or the equivalent.
• Experience in a university technology transfer office, is highly preferred.
• Significant experience in accounting, budget planning and financial analysis.

Minimum Education

• Bachelor’s Degree or the equivalent in education and experience.
• Bachelor’s degree preferred.

Key Accountabilities

Office Administration
• Provides strategic development and implementation of department systems to accommodate growth and ensure accurate and efficient financial and data manipulation and automation, providing a basis for sound financial decision making.
• Coordinates with other offices and departments to efficiently accomplish the work of the Office of Technology Transfer.
Financial Management
• Ensures the integrity of departmental finances through prudent financial management and organization, including a well-organized budget process, appropriate control mechanisms and timely financial reporting.
• Oversees all aspects of departmental financial administration including budget, receivables and payables, account reconciliations, reporting, and licensing revenue/compliance monitoring.
• Provides financial reporting for the Director as needed or requested.
Technology Transfer Data Integrity
• Contributes to the design and implements data systems to automate and streamline departmental workflow processes.
• Ensures transmission of parallel financial data between Oracle and IP & Licensing Database system; generates reports, projections and analyses for the Director.

Technology Transfer Revenue and Expenses Integrity
• Intellectual Property Revenue Sharing: Reviews royalty and licensing fees and receipts; analyzes, reports, and distributes funds per university IP distribution policies; creates and maintains comprehensive IP distribution data and reports to Director and others; prepares/maintains consolidated royalty analyses for licensees.
• Bad Debt Write Offs: Works with Director to develop write-off procedures and policies; identifies and reviews uncollectable accounts with the Director.
• Accounts receivable: Provides Accounts Receivables data to Financial Services for invoicing by Dartmouth College. Processes all entries from revenue clearing account through the general ledger and IP & Licensing Database system.
• Accounts payable: Reviews invoices for all IP related expenses, approves or forwards to Director for approval as appropriate. Tracks in-office approval and forwards all invoices to the finance center for processing. Ensures that all IP related expenses are accurately reflected in both the IP & Licensing Database system and General Ledger.
• Manage Equities: Monitors the equity portfolio, receiving and reviewing periodic reports from public and private companies in which Dartmouth holds an equity stake. Identifies disclosures within the periodic reports that may have material impact on Dartmouth’s position with the Licensee. Summarizes and communicates material disclosure concerns to management as well as to investments.
Office of Technology Transfer
• Attends professional development sessions as needed to develop and maintain knowledge related to the many facets of technology transfer, its regulation, efficient service to the institution, and industry contacts.
• Participates in committees and working groups as assigned.
• Works with the Office of Sponsored Projects and other Dartmouth offices as needed regarding intellectual property issues.
• May develop and deliver informational sessions and educational workshops for the Dartmouth Community, including faculty, students, and staff.
