Position Purpose

Reporting jointly to the Director and Patent and Data Manager, ensures the smooth and efficient operation of the Office of Technology Transfer, providing high-level support to the Director; manages communications with office staff, administrators and faculty at Dartmouth and with industry and government representatives as directed.

Minimum Experience
  • Four years of office experience in roles with increasing levels of responsibility.
  • Previous experience with calendar management and providing executive level support strongly preferred.
Minimum Education
  • Associate’s degree or the equivalent combination of education and experience.
  • Bachelor’s degree and fewer years of experience will be considered.

Key Accountabilities

Key Accountabilities

Support to the Director

  • Serves as the first point of contact for the Director by answering phone calls, responding to emails and inquiries, and greeting visitors.
  • Manages, plans and coordinates the details of a complex appointment calendar to ensure the most efficient use of the Director’s time, prioritizing appointments, organizing materials needed for each appointment and docketing of responses due (from Director and to Director).
  • Anticipates and proactively meets the needs of the Director for daily workload management, meeting preparation, travel, etc.
  • Drafts and/or sends correspondence on the Director’s behalf to staff and executives in the college, and industry and government representatives as directed.
  • Schedules and manages all logistics and resources for events and meetings convened by the Director. Organizes and maintains the Director’s files.
  • Makes travel arrangements, collects, reconciles and submits all material for reimbursements.
  • Researches, gathers data and prepares reports to assist and support objectives of the Director.
    Office Coordination, Outreach and Communications
  • Gathers and coordinates information for internal meetings, coordinates items for the agenda, and distributes material to participants prior to the meeting.
  • Takes minutes at meetings, prepares and distributes reports, and follows up on details to ensure timely and accurate dissemination of information.
  • Develops and manages the Technology Transfer Website, coordinating with Office of Entrepreneurship and Technology Transfer counterparts, for unity and coordination in messaging.
  • Prepares and designs communications materials in collaboration with others for technical content.
  • Works with Director to outline outreach offerings for technology transfer.
    Licensing Support and Data Entry
  • As directed, tracks and monitors deadlines and pending items and follows up with appropriate contacts to ensure consistent and efficient workflow and completion of tasks in a timely manner.
  • May review new License Agreements and agreement summaries to ensure consistency.
  • May perform data entry.
