Position Purpose

To support the general administrative, financial, and logistical functions of the Office of Undergraduate Advising & Research, to coordinate programs associated with academic advising of undergraduate students and recent alumni, and to perform a wide variety of office activities that will increase office efficiency, expedite/coordinate the work of others, and ensure the smooth operation of the office.

Skills & Knowledge
  • In-depth knowledge of office procedures.
  • Strong organizational skills.
  • Proficient with computer applications such as Microsoft Word and Microsoft Excel, including advanced functions in these software programs.
  • Experience with database systems (e.g. FileMaker).
  • Prior experience with IRA, eProcurement, Banner, Drupal and Canvas a plus.
  • Excellent interpersonal skills and written and oral communication skills.
  • Understanding of and sensitivity to the needs and concerns of a diverse student population.
  • Ability to maintain confidentiality.
Minimum Experience
  • Three or more years of office experience in a related field, with some autonomy.
Minimum Education
  • Associate’s degree or the equivalent combination of education and experience.
  • Bachelor’s degree preferred.

Key Accountabilities

Key Accountabilities

Communication

  • Serves as primary point of contact for Fellowship Advising and Pre-major Advising.
  • Maintains current knowledge of all UGAR programs and more in depth knowledge of Fellowship Advising and Pre-major Advising.
  • Responds to student and faculty inquiries with basic information; redirects inquiry to the appropriate individual/office as necessary.
  • Maintains an open, professional, engaging, and informative approach to work tasks and communications with others.

Financial support

  • Reconciles receipts and purchasing card charges, ensuring that charges are made to the appropriate chart string.
  • Processes and submits paperwork for student scholarship payments and other payments.
  • Coordinates reimbursements and payments related to advising programs.
  • Generates financial reports and summaries as requested.

Information management support

  • Monitors relevant UGAR blitz accounts and online systems.
  • Organizes and maintains electronic and paper office files to ensure accuracy and accessibility of information.
  • Updates databases and spreadsheets with student information (e.g. importing and exporting data with Excel and FileMaker) and generates reports as necessary.
  • Regularly checks relevant UGAR websites to ensure that all information is current, and updates all UGAR websites as necessary or as directed.

Scheduling and event coordination

  • Maintains multiple schedules for office events and office staff.
  • Schedules appointments, meetings and events, and assembles materials for meetings.
  • Coordinates schedules and itineraries for visiting faculty, staff and guest speakers (e.g. transportation, lodging, accommodations, car rental, campus events).
  • Coordinates venue, set-up, refreshments, and audio-visual equipment needs for events.
  • Assists during events as necessary to ensure smooth execution.
