Position Purpose

Program Coordinator:
To plan and implement a designated portfolio of open enrollment, custom,
and/or consortium Executive Education programs, ensuring the highest
possible level of customer satisfaction during program delivery.

Senior Program Coordinator:
Utilizing project management tools and processes; plans, develops, and
implements a portfolio of open enrollment, custom, and/or consortium
Executive Education programs, ensuring the highest possible level of client
service and satisfaction during program delivery.

Skills & Knowledge

Program Coordinator:
• Excellent interpersonal skills and ability to work both independently and as a team member.
• Attention to detail and ability to meet deadlines.
• Motivated, eager to learn.
• Ability to work with others in a team setting, good communication
skills and strong client/participant service orientation.
• Working knowledge of Microsoft Office suite including Outlook.

Senior Program Coordinator:
• Ability to successfully plan and execute executive education programs.
• Proficiency with Microsoft Office Suite and experience with website and database management software.

• Travel and regular participation in weekend and evening dinners and receptions.

Minimum Experience

Program Coordinator:
• Three years of relevant experience.
• Event planning, conference management experience helpful.

Senior Program Coordinator:
• Two years of experience in the executive education, hotel or conference industry.
• Client service background.
• Event and/or project planning and conference management experience.

Minimum Education

Program Coordinator:
• Associate’s degree or the equivalent.
• Bachelor’s degree preferred.

Senior Program Coordinator:
• Bachelor’s degree or the equivalent combination of education and experience.

Program Coordinator:
Program Support and Coordination
• Assures world-class client/participant experience for all assigned programs.
• Plans and manages the execution of all logistics for assigned less complex executive programs, including receptions and meals, lodging, scheduling of classrooms and meetings rooms, audio-visual support, and local transportation. Determines suitability of off-site locations.
• Troubleshoots as necessary.
• Acts as primary contact for participants beginning at point of application, during program, and after program ends. Responds to participant’s questions, concerns and needs. Serves as on-site program representative, traveling to the specific site as required.
• Communicates respectfully to diverse participants.
• Processes program applications upon receipt; prepares and sends follow-up correspondence upon approval.
• Supports pre-program planning, including securing lodging availability to schedule program dates and outreach to faculty for their availability.
• Finalizes program schedule working with Faculty Director and executive education program manager/director.
• Obtains teaching assignments, orders instructional materials, prepares and sends advance reading materials and schedules to program participants.
• Conducts program evaluations; oversees processing and distribution after each program.
• Works with Finance & Operations Director to facilitate program billing, payments, budget tracking and reconciliation.
• Acts as a mentor to new Program Coordinator(s).

Senior Program Coordinator:

• Organizes program debriefs with faculty and staff.
• Works with Finance Center to facilitate program billing, payments, budget tracking and reconciliation.
• Acts as a mentor to Program Coordinator(s), including modeling and coaching other coordinators in all of the above.

Project Management and Client Focus
• Utilizing project management tools and processes in place, is responsible for successful planning and execution of assigned programs starting at design through delivery and follow up, facilitating team communications and supporting the project timeline.
• Works closely with business development to support the participant registration process.
• Identifies and analyzes potential problems or participant concerns and recommends alternative solutions.
• Understands client program coordination requirements and recommends organization-wide improvements to existing coordination process. Effectively implements changes, updating project management tools and processes.
• Coaches and advises other program coordinators in all of the above.
• Recommends program changes based on analysis of evaluation data and participant comments.
• Facilitates program debriefs and other meetings.
