Position Purpose

To perform a variety of administrative, office management, and information management tasks supporting the executive director of research and prospect management, the director of donor engagement, and department staff.

Minimum Experience
  • Four years of office management experience.
  • Budget management experience.
Minimum Education
  • Associate’s Degree or the equivalent combination of education and experience.

Key Accountabilities

Key Accountabilities

ADMINISTRATIVE, OPERATIONAL, AND FISCAL RESPONSIBILITIES

  • Proactively assists the Executive Director and the Director of Donor Engagement in managing priorities, including but not limited to, addressing departmental requests, general inquires, and special projects.
  • Schedules meetings for the Executive Director, the Director of Donor Engagement, and the departments utilizing the College’s electronic scheduling system; manages logistics for occasional large meetings and training sessions.
  • Coordinates, attends, and records minutes in various meetings as appropriate.
  • Manages and tracks standard requests and workflow between the two departments; works closely with counterparts in other departments to track interdepartmental requests.
  • Supports tracking and data analysis of work output for the Office of Donor Engagement.
  • In conjunction with the Executive Director and the Director, participates in developing and managing department budgets; manages the annual expense budget, oversees purchasing for the departments, and reconciles monthly transaction reports.
  • Provides direct administrative support for the Executive Director, the Director, and staff in both departments, as needed.
  • Represents the Executive Director, the Director, and the departments in a positive, professional manner while maintaining appropriate levels of confidentiality and sensitivity.

DONOR-FOCUSED ACTIVITY

  • Provides logistical support for donor and prospective student campus visit planning and itineraries, as well as occasional small donor events.
  • Supports document production, packaging, cross-campus delivery, and/or mailing of gift agreements, proposals, presentations, and other documents to donors, as needed.

INFORMATION MANAGEMENT

  • Serves as the central information manager for electronic and paper files for Donor Engagement; organizes and archives electronic and paper files.
  • Develops, maintains, and monitors complex electronic filing systems for Donor Engagement, to ensure proper distribution and coordination of information; confirms content is current and protocols for naming, data tagging, and approval tracking are followed.
  • Develops biographical donor profiles by identifying and gathering professional, wealth, philanthropic, and Dartmouth relationship information for use in board nomination discussions and donor visits.
  • Assist strategic analysts with class, parent and other large-scale database reviews.
  • Supports the transfer of information updates from various databases to colleagues in Alumni Records.
