Position Purpose

To support and coordinate Advancement activities in the Thayer School Annual Fund, including data management, reporting, and administrative support to the Director. To promote efficient administrative business processes through independent analysis and design, and facilitate the effective use of administrative information systems.

Minimum Experience
  • Three years of office experience in Development or a related-field with a high degree of autonomy.
  • Proven success with building and maintaining successful alumni relations and an active donor base.
  • Experience with Advance and FileMaker or similar systems preferred.
  • Experience in developing or re-engineering work processes.
Minimum Education
  • Bachelor’s Degree in a related field or the equivalent.

Key Accountabilities

Key Accountabilities

Gift Processing and Database Maintenance
• Processes in a timely manner all annual gifts and pledges to Thayer School of Engineering. Acts as liaison for Annual Gifts received through the Central Development Office.
• Manages donor acknowledgement. Produces acknowledgement letters, coordinates donor stewardship amongst various departments across campus, and maintains accurate records of donor correspondence and stewardship.
• Coordinates matching gift payment from corporations with gift processing department.
• Creates and produces various analytical reports relating to Annual Fund and Campaign progress.
• Analyzes need, tests, and develops end-user reports and reporting system utilizing Advance, Microsoft Office, and FileMaker Pro.
• Maintains accurate alumni records in various databases. Updates software as needed.

Volunteer Management
• Supports the Director’s efforts with the management and support for annual fund agents, including recruiting, reporting, communications, and engagement strategies.

Solicitations and Stewardship
• Explores opportunities for interaction and engagement with specific local donors.
• Travels to visit local prospects as necessary.
• Evaluates results of Annual Fund solicitations.
• Manages special fundraises projects as assigned by Director.

Communications and Mailings
• Serves as primary contact for Annual Fund and Alumni Relations toll-free telephone number; accepts donations, answers questions, directs queries to appropriate staff, and troubleshoots as needed.
• Calls alumni for annual fund solicitations, as needed.
• Oversees complex paper and electronic mailings (10-15 annually) for annual fund.
• Interacts regularly with a wide range of staff members, volunteers, alumni and donors and conveys information on behalf of the supervisor.
• Regularly handles confidential or sensitive information, exercises discretion concerning its disposition.
• Assists with proofreading communication pieces directly related to donor records.

Committee/Meeting Participation
• Coordinates, attends, and participates in various meetings and events as requested by the supervisor.
• Gathers information, produces materials, and distributes to participants prior to meetings.
• Coordinates and arranges meeting event management needs, such as facility space, catering, and set-up.

Budget
• Is responsible for purchasing card use. Processes bills and is liaison to accounting office.

General Office Support
• Prepares and coordinates travel arrangements and Business Reimbursement Forms for the Director.
• Supports the department of Advancement as needs arise.
