Position Purpose

To coordinate and perform a wide variety of department/office activities that will increase department/office efficiency, expedite/coordinate the work of others, and ensure the smooth operation of the department/office.

Skills & Knowledge
  • In-depth knowledge of office procedures
  • Strong organizational skills
  • Proficient with computer applications, specifically Microsoft Office programs and FileMaker.
  • Strong interpersonal and communication skills with the ability to provide dependable timely follow-up.
  • Ability to interact professionally and calmly when working with frustrated end-users.

Minimum Experience
  • Two years of office experience in a related field, with some autonomy.
Minimum Education
  • Associate’s degree or the equivalent.

Key Accountabilities

Key Accountabilities

General Office Support

  • Coordinates a variety of activities to support department functions.
  • Monitors and orders department supplies.
  • Directs student interns, and student office assistants.
  • Sorts and delivers department/office mail.
  • Creates and manipulates files in Excel, Word, PowerPoint, Adobe Acrobat, and FileMaker.
  • Updates and maintains departmental website within website template and department guidelines.
  • Troubleshoots and orders service of departmental machinery.

Academic Support

  • Communicates with students regarding major and minor requirements.
  • Obtains and places textbook orders and posts to the timetable.
  • Maintains course waitlists and coordinates closing of courses with the Registrar.
  • Posts course syllabi on the department webpage.
  • Assists faculty in arranging out-of-classroom events such as simulations and poster sessions.
  • Assists faculty in scanning and uploading materials to course web pages (Canvas)

Event Coordination

  • Coordinates departmental events such as commencement events, faculty seminars, workshops and Honors presentations.

Communication

  • Serves as primary point of contact representing the department/office to the institution and external constituencies.
  • Responds to inquiries from alumni, undergraduates, and prospective students.
  • Serves as a source of information on department policies and procedures.
  • In the absence of the department administrator, records minutes at meetings and prepares for Chair review and distribution.
  • Coordinates a wide range of department publicity and communications: advertises academic prizes, colloquia and workshops, and Honors Program events; posts electronically events and resources of interest to department majors and minors.
  • Proofreads memos and correspondence for faculty and chair review.
  • Designs and maintains hallway display cases and departmental brochure.
  • Maintains cognizance of working within a diverse community and enhancing diversity and acts appropriately regarding diversity in dealing with others.

Information Management

  • Updates and maintains established databases of department alumni, honors theses, and key department statistics (e.g. enrollments, majors, GPAs, and student performance and demographics) within department guidelines.
  • Maintains records of prizes and honor program students.
  • Coordinates the department’s annual and quarterly academic prize awards.
  • Compiles a list faculty office hours and responds to office hours questions.
  • Maintains information provided by department Alumni.

Schedule Coordination

  • Maintains multiple schedules, such as those for department events, use of our seminar room, academic terms, Honors Program activities, and colloquia and workshops.
  • Assists in coordinating schedules and itineraries, and orienting new or visiting faculty, staff and guest speakers.
